Offline Transcription on Mac: What Works Without Internet

You can transcribe on a Mac with no connection if the app runs its speech model on the Mac itself. What works offline and what does not

The split follows one rule: if the work happens in an app on your Mac, it runs offline; if it needs a server, it does not.

The cloud features also pause after a Pro trial or a cancelled plan, while local transcription on Mac stays free. That makes the local model a sensible fallback even for people who pay for Pro.

Set up the local model before you need it

The local model is a download, so the offline setup has to happen while you still have internet.

Do the test before the trip. A first launch on a plane with no model downloaded is the one way to be stuck.

Apple's built-in options offline

Apple Dictation is the obvious first stop. Apple's own support page describes how to turn it on in System Settings under Keyboard, and says you can check the Dictation settings to see whether general text Dictation is processed on your device and not sent to Siri servers. It does not promise offline use on every Mac and language, so verify yours by switching off Wi-Fi and trying it.

Voice Memos on Mac also shows a transcription of a recording. Apple notes the feature is not available in all countries or regions and does not state a hardware or offline requirement, so treat offline use as something to test rather than assume. Both tools are free and already installed, and for a short memo they may be all you need.

When local is enough

Local transcription fits well when:

• You are offline for a stretch and need text anyway: a flight, a train, a venue with poor reception.
• The audio is a single speaker in a reasonably quiet room.
• You want to dictate into an email or document without creating an account.
• You are transcribing files in bulk and do not want to watch a monthly allowance.

When Pro cloud transcription is the better choice

Cloud transcription is the main experience in Avaan, and it is the better choice when quality matters more than being offline:

• Noisy rooms, overlapping speakers, strong accents, or specialist terms. Cloud models are the better bet here, though results vary by recording, so compare on your own audio.
• Dictation that should arrive formatted for where you are typing. Modes, a Pro feature, turn the same words into an email in Mail or a casual line in Slack.
• Conversations where you want to know who said what. Speaker labels are a Pro feature.
• Notes on iPhone that sync to your account and, with memories turned on, let you Ask questions across them.

Cloud transcription sends audio to speech providers. The subprocessors page lists them, and the privacy policy explains what is stored. Local transcription keeps that audio on the Mac. Pick per recording, not once forever.

A practical plan for travel and spotty connections

1. Download the local model and run the offline test before you leave.
2. Dictate and transcribe locally while you are disconnected.
3. When you are back online, re-run any recording that needs better accuracy through cloud transcription, if you have Pro.
4. Keep the original audio until you have checked the transcript.

Review any transcript before you rely on it. Names, numbers, and technical terms are the usual places for mistakes, in both local and cloud transcription.
